Job Vacancy - Office Assistant at Masters of Martial Arts Blackburn

After 4 years, it's time to say goodbye to Phoenix as he takes up a full-time school teaching role in September. Don't worry though, he doesn't leave until the end of August so there will be plenty of time to say goodbye and thank him for his service.


His leaving, however, creates an employment opportunity of 19.25 hours per week for the right candidate and a job share would be considered. Please feel free to share this post for any suitable candidates.

We are seeking a highly organised and personable Office Assistant to support the daily operations of Masters of Martial Arts.


This front-of-house role is critical in ensuring smooth administrative functions, excellent customer service, stock sales and management, and a tidy, welcoming reception area.


Candidate Key Skills & Attributes:

  • Excellent communication and interpersonal skills.

  • Strong organisational skills with attention to detail.

  • Confident handling stock and small-scale retail sales.

  • Ability to multi-task in a fast-paced environment.

  • Comfortable using basic office software (e.g., Excel, Word) and social media (e.g., Facebook, Instagram).

  • Friendly, professional, and proactive attitude.

  • Comfortable working around children and families.

  • Previous experience in office administration, customer service, or retail is desirable.

Job Title: Office Assistant – Martial Arts Academy

Location: Masters of Martial Arts, Blackburn Town Centre

Address: 14 Lord Street Blackburn, BB2 1LU

Hours: 19.25 hours per week (or will consider job share)

Days including Monday, Tuesday & Thursday evenings & daytime Saturday, with the occasional Sunday.

Reports to: Academy Manager / Head Instructor

Salary: Dependent upon age, but up to £12.21 per hour

  • 5.6 weeks paid holiday leave (pro rata & inclusive of two fixed weeks over Christmas)

Role Overview:

We are seeking a highly organised and personable Office Assistant to support the daily operations of Masters of Martial Arts. This front-of-house role is critical in ensuring smooth administrative functions, excellent customer service, stock sales and management, and a tidy, welcoming reception area.


Key Responsibilities:

1. Attendance & Membership Support

  • Accurately record student attendance for all classes.

  • Follow up on absences by contacting parents/guardians or adult members.

  • Maintain up-to-date student and membership records in the management system.

2. Prospect & Lead Nurturing

  • Respond promptly to new enquiries via phone, email, and social media.

  • Book trial classes, follow up with prospects after visits, and support the onboarding process for new members (forms, welcome packs, etc.).

3. Financial Checks & Administration

  • Assist with monitoring membership payments and flag missed or overdue fees.

  • Support the distribution of invoices, receipts, and respond to basic financial queries.

  • Handle sensitive financial data with accuracy and confidentiality.

4. Reception & Customer Service

  • Greet students, parents, and visitors warmly upon arrival.

  • Provide information, handle queries effectively, and escalate issues when necessary.

  • Answer phone calls, emails, and social media messages professionally and promptly.

5. Stock Sales & Management

  • Assist with the sale of academy merchandise (uniforms, belts, gear, drinks, snacks).

  • Monitor stock levels, restock items, record sales, and manage cash/card payments.

  • Liaise with suppliers and support with ordering new stock.

6. Venue Upkeep

  • Ensure the reception area and training spaces remain clean, tidy, and welcoming.

  • Restock supplies such as hand sanitiser and promotional materials.

  • Support light cleaning and tidying duties before or after classes.

7. Social Media & Promotion

  • Assist with creating and posting engaging content on social media platforms.

  • Share updates, promote events, and highlight community achievements.

  • Help manage event RSVPs and gather feedback through social channels.

  • Capturing daily activities to promote our Academy.

8. General Administrative Support

  •    Ensure reception area and training spaces are clean, tidy, and welcoming.

  • Restock supplies (e.g., hand sanitiser, promotional materials)

  • Support with light cleaning or tidying as needed before/after classes.

  • Assist instructors and management with ad-hoc administrative tasks as required.
